Administrative Assistant will assist with administrativeduties in all areas of the Department. This requires a highly organized anddetail-oriented professional who performs administrative tasks and assigned clerical duties forthe department.
Essential Duties & Responsibilities:
Assist with all correspondence within the department including but not limited to mailing and
logging Member Satisfaction Surveys, member and provider letters, incoming and outgoing
Answer department phone line, route calls to correct staff, and take messages as needed
Assist with transportation calls and scheduling
Assist with authorizations
Design and produce all general correspondences, memos, etc.
Assist with development and layout of program brochures, flyers, and other mail outs
Perform a quality review of all out-going correspondence to include: Proofreading for
spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and
clarity of final copy
Responsible for routing and distribution of all mail, email and fax correspondence within the
Schedule general staff meetings
Develop meeting agendas and takes meeting notes
Responsible for recording and maintaining meeting minutes in appropriate electronic and
original hard copy formats
Answer incoming calls to the department; collect information from incoming calls sufficient to determine appropriate transfer of calls; transfer calls to appropriate staff or department
Take messages as needed to ensure calls from referral sources, colleagues and member are
Knowledge, Skills, and Abilities:
High School diploma or equivalent with a minimum of three (3) years of experience in a
work setting that entails customer service and/or administrative duties
Prior experience in a medical office setting or setting requiring HIPAA compliance is a plus
Higher education/vocational training beyond High School is a plus
Ability to work with supervision and follow established policies and procedures
Ability to use Microsoft Office (Word, Excel, Power Point, etc.) and Internet
Any experience with custom accounting or publishing software is preferred
Exceptional interpersonal, verbal, and written communication skills
Ability to interact effectively with all staff other professionals
Attitude/behavior should reflect a customer service orientation
