We’re hiring a motivated part-time real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented. If this position interests you, start your application today!Compensation:$15 hourlyResponsibilities:Assist the real estate team in facilitating local events to foster connection to people in the neighborhoodFulfill client requests for information or other relevant transaction services in a quick and friendly mannerContinue to build skills and knowledge in the real estate industry by attending educational eventsCompete with others in the real estate industry by producing high-quality print and digital marketing materials Ensure each transaction complies with legalities and any tax withholdings are completeParticipate in Daily Huddle, review daily schedule, and determine the course of action for anything unscheduledPrepare team meeting agenda and distribute prior to the meetingTake and distribute full meeting notesSend cards for upcoming milestones (birthdays, anniversaries, and so on)Listing (Listing to Contract)Consult and coordinate with sellers all property photos, staging, repairs, cleaning, signage, lockbox, access requirements, and marketing activitiesProvide proactive weekly feedback to sellers regarding all showings and marketing activitiesCoordinate all public open houses and broker open housesEnter all listing information in MLS and marketing websites and update as neededSubmit all necessary documentation to the office broker for file complianceInput all necessary information to client database and transaction management systemsTransaction Coordination (Contract to Closing)Oversee all aspects of buyer and seller transactions from executed purchase agreement to closingCoordinate title/escrow, mortgage loan, and appraisal processesCoordinate inspections, assist in negotiations regarding repairs and coordinate completion of repairsRegularly update and maintain communication with clients, agents, title officers, lenders, etc.Submit all necessary documentation to the office broker for file complianceCoordinate moving/possession schedulesSchedule, coordinate, the closing processInput all client information to the client database systemSchedule 30 -day, 90 -day and 120 -day client customer service follow-up calls to assist with any home improvement provider recommendations and to ask for referralsMarketingSupervise client database management program and systemCreate and regularly prepare all buyer and seller consultation packagesCoordinate the preparation of all listing and open house flyers, graphics, signage, and all other marketing materialsManage and update agent website(s), blog(s), and online listingsRegularly assist agents to manage and enhance their social media presenceTrack and coordinate all inbound leads from websites, social media, and other online sourcesCoordinate all client and vendor appreciation eventsRegularly obtain client testimonials for websites, social media, and other marketing materialsCoordinate and implement agent marketing videos and property videos on website(s), blog(s), social media, and client database email campaignsQualifications:Prior experience in the real estate industry or as an office manager Candidates are required to have a high school diploma or GED Available evenings and weekendsLicense for real estate is preferred but not requiredGreat written and verbal skillsBilingual Spanish-EnglishPrevious experience with a CRM like Liondesk or RealvolveFlexible working schedule to accommodate clients on weekendsKnowledge/Skills:Minimum of 2 years customer service experienceMust have very strong working knowledge MSWord and ExcelAbility to learn other programs, databases, and websites quicklyQuick to respond to requests and completely dependable on follow-throughDemonstrated ability to handle sensitive, confidential informationSuperior oral and written communication skills- Spanish /EnglishSpecial Considerations:Strongly prefer someone with experience in the real estate business who is well organized and wants to learn from one of the bestLicensed Real Estate Agent preferredCandidate must hold their Real Estate License or be willing to start the course to be an agent. Working as a Buyer’s Agent would be an additional income stream.
