Role Overview We are seeking a Finance and Contracts Administrator to join our growing team in support of our corporate office.

This is an exciting opportunity to work on cutting-edge technologies and contribute to impactful, mission-critical initiatives.

Key Responsibilities

• Contract Administration:
  • Advise the project management team on the contractual significance of proposed actions. Be the subject matter expert on the prime contracts.
  • Negotiate changes to the terms and conditions to reduce the company’s risk exposure.
  • Prepare and provide contractually significant communications and notices including contract terms, deliverables, renewal dates, payment schedules, and compliance requirements.
  • Coordinate with other project team members to identify customer related actions or inactions, which may result in constructive contract changes.
  • Provide support in the formation of prime contracts, including participating in the proposal, prime contract review, joint venture and/or subcontract partnering, and risk assessment process.
  • Review proposals to ensure compliance with contract requirements including Truthful Cost or Pricing Data Statute.
  • Manage award setups, modifications, and closeout procedures for federal prime contracts or subawards.
  • Prepare, review, and maintain contracts, purchase orders, invoices, statements, and other financial documentation.
  • Assist in developing contract summaries and inputting contract information into a Contract Database and updating throughout the project.
  • Ensure compliance with management of vital records and relevant correspondence to support reporting, contract audit, claims and litigations, and contract close out.
• Financial Management & Budgeting:
  • Track program expenditures, manage resource forecasting, and review direct charges against funded budgets.
  • Process and track invoices, payments, receipts, and other financial transactions in accordance with established procedures. Coordinate with vendors, clients, subcontractors, and consultants regarding contracts, invoices, payments, and account-related matters.
  • Prepare financial reports, management summaries, support billing processes, and reconcile contract costs for any system discrepancies and assist with financial and contractual audits.
• Regulatory Compliance:
  • Ensure adherence to the Federal Acquisition Regulation (FAR) and agency-specific supplements.
  • Submit reporting and manage deliverables for compliance with all IDIQs and GWACs requirements.
  • Participate in risk reviews and project management team reviews?
  • Follow the disputes process to track and administer claims throughout the project, while working with Legal.
• Stakeholder Coordination:
  • Serve as the primary liaison between internal project managers, executive teams, and federal agency representatives.
• Other:
  • Maintain confidentiality of financial, contractual, vendor, and company information.
  • Perform other finance and contract administration duties as assigned.
  • Support continuous improvement and innovation initiatives.
  • Special projects as needed.

Required Skills

• You’ve worked on small teams and are self-directed. No department behind you, nobody assigning your week
• Experience with Deltek Costpoint financial system.
• Strong time management, organizational, analytical and administrative skills with ability to meet deadlines.
• Excellent attention to detail and accuracy with strong written and verbal communication skills.
• Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
• Ability to work with financial data, spreadsheets, contracts, RFPs and reports.
• Ability to read, interpret, report and track contractual terms and obligations.
• Professional judgment and discretion when handling confidential information.
• Ability to collaborate effectively with finance, operations, management, vendors, and other stakeholders.

Experience & Qualifications

• 4-8 years of experience in federal contracts or financial administration on the contractor side, where the follow-through was yours.
• FAR and DFARS, and comfort with flow down matrices and applicability thresholds.
• You’ve built a register or compliance calendar, to manage federal contracts, IDIQ and GWACs.
• Submissions into federal systems. SAM at minimum, and experience with contract closeouts.
• US person, able to work with CUI.
• Experience reviewing and maintaining subcontracts, purchase orders, vendor agreements, or related documentation.
• Familiarity with contract administration processes, reporting, renewals, amendments, and compliance tracking.
• Demonstrated ability to manage multiple priorities, deadlines, and administrative processes with a high degree of accuracy.
• Extensive government Proposal Support is a plus.

Education

• Bachelor’s degree in Finance, Accounting, Contract Management, Law or a related field with minimum 4 years of experience; NCMA Certification (CPCM, CFCM and/or CCCM) highly preferred.

• Monday – Friday 8AM – 5:30PM EST
• Work schedules and arrangements (remote/hybrid) may be adjusted based on client and program needs.

Compensation

• The likely salary range for this position is $75k-$100k.

Salary range reflects our commitment to pay equity and transparency. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, certifications, labor qualifications, geographic location and contractual requirements and could fall outside of this range.
